Sr. Admin Assistant - Editorial Coordinator

KEY JOB RESPONSIBILITIES

I. Assist

1.  Provide administrative support of a highly responsible, confidential detailed and time-sensitive nature to the Editor-In-Chief and Digital Director

2.  Interface with all levels of internal/external contacts, requiring considerable judgment, initiative and follow-through

3.  Arrange appointments, manage calendars and coordinate schedules for meetings, visitors and events; coordinate travel arrangements; help manage scheduling for production shoots through the scheduling coordinator

4.  Perform general clerical duties to include but not limited to: copying, mailing, and filing.

5.  Exercise judgment and communicate in a manner reflecting station policies and style of the Editor-In-Chief and Digital Director

II. Coordinate

1.  Coordinate Content Department all-staff and team meetings, take minutes and follow up with items as needed

2.  Track expenses, invoices and payments to ensure that freelancers and independent contractors are paid in a timely manner; assist with department budget  tracking

3.  Maintain editorial and project calendar for Crosscut, KCTS 9, What’s Good 206, and digital teams, and share with Content and other departments as needed

4.  Assist with project management and tracking as needed; help define and document workflows and procedures

5.  Approve timecards for Editor-In-Chief as needed

6.  Event coordination and/or support

7.  Assist with grant applications and reporting

8.  Other duties as assigned  

EDUCATION AND EXPERIENCE

1.  Bachelor’s degree in liberal arts, communication or business or related field preferred

2.  One year experience in general office responsibilities and procedures required

3.  Highly proficient in MS Outlook and Office suite; commitment to ongoing technical skill development as relates to position

4.  Excellent interpersonal communication skills

5.  Adept at working both independently and collaboratively to accomplish goals and objectives within deadlines

6.  Ability to support and anticipate needs of leadership and fast-paced operations

PHYSICAL REQUIREMENTS

1.  Ability to regularly type on a keyboard

2.  Ability to view data on a computer screen for long periods of time

3.  Ability to sit or stand for extended periods

4.  Ability to lift up to 25 lbs. (pounds)
