Receptionist - On-Call

Purpose: Build positive community relations and provide excellent customer service     by directing station visitors and calls to reach more people, build a strong organization, and make a positive impact in the community.

Division: President’s Office
Reports to: Senior Executive Assistant

Reports to: Temporary, On-Call; Hours will vary.

KEY JOB RESPONSIBILITIES

I. Provide Reception Services

  1. Serve as a brand ambassador to build positive community relations
  2. Provide excellent customer service by being professional, courteous, friendly and prompt
  3. Open and secure KCTS 9 lobby area and keeps the area orderly and free of clutter
  4. Greet and direct station guests and visitors
  5. Handle and route internal and external calls and paging on a multi-line phone system
  6. Refer questions and requests for information to the appropriate station departments (e.g. Programming, Customer Service, Engineering, Accounting)
  7. Accept and monitor incoming and outgoing courier deliveries  including UPS and FedEx
  8. Distribute and collect ID Badges for vendors and guests, as well as tracking temporary use badges
  9. Maintain confidentiality as appropriate

II. Office Support

  1. Open, sort, mark as received, and distribute daily incoming mail to internal mailboxes
  2. Distribute incoming faxes to internal mailboxes; respond to “spam” faxes to request removal; check paper level and refill mailroom fax machine as needed
  3. Process and prepare outgoing mail
  4. Inform recipients of incoming packages and  maintain staff mailboxes
  5. Communicate any general office equipment service needs to IT
  6. Inventory and order Lunchroom and general office supplies
  7. Empty dishwasher each morning

III. Collaborate

  1. Staff reception desk during special events as assigned
  2. Perform administrative and project duties as assigned

QUALIFICATIONS AND ABILITIES

  1. High School diploma or equivalent required
  2. One year of receptionist and/or customer service  experience required
  3. One year of experience with multi-line telephone system strongly preferred
  4. Excellent interpersonal communication skills appropriately tailored to different recipients required
  5. Proficient in MS Outlook, commitment to on-going technical skill development as relates to position
  6. Ability to handle multiple tasks with a positive and professional manner
  7. Moderate to heavy physical tasks up to lifting 55 pounds unassisted required
  8. Lifting, stretching, climbing steps, bending and moving office equipment required
  9. Ability to work some evenings, weekends, holidays and on-call shifts as needed
  10. Regularly report to work as scheduled
  11. Work independently and collaboratively to accomplish responsibilities, goals, and projects
